The Executive Assistant will provide administrative and project management support to the Managing Director of Technology. This is an excellent opportunity for a passionate and adaptable individual to support our Technology department as they develop and enhance company information infrastructure and tools used across a wide range of business units including operations, marketing, digital marketing, and sales. 

This role is responsible for facilitating the daily workflow of the Managing Director in a smooth and manageable fashion. Duties will encompass calendar management, traffic coordination, interdepartmental liaising, and general departmental support to enhance the organization and efficiency of the Managing Director’s office and Technology department.
 
Responsibilities (all at the discretion of the Managing Director include, but are not limited to the following):
  • Providing project management and administrative support to the Managing Director to meet Technology objectives
  • Create and modify documents such as invoices, reports, memos, meeting agendas, and select correspondence for the Managing Director
  • Handle all travel arrangements
  • Prepare and submit Travel & Expense reports, reconciling receipts and statements
  • Act as a liaison between the Managing Director and the Technology team
  • Work with the Technology team  to traffic production and help ensure deliverable and milestones are met
  • Attend Technology meetings to assess and document project status, identify project needs, identify potential timeline impacts, updating the Managing Director accordingly
  • Maintain project-specific status reports pertaining to website, listings, intranet related projects.
  • Assist in creating, proofreading and editing presentations and reports using MS Office
  • Coordinate meeting logistics including room reservations, food services, participant travel arrangements, and on-site troubleshooting
  • Other duties as assigned

Education and Training:
  • Bachelor’s Degree preferred
  • At least 2 years agency, in-house creative, digital, IT, or media experience
